Administrative Services, Advanced
Our Federal Government client requires the services of an Administrative Assistant / Material Manager to provide material support in accordance with internal divisional practices and partner expectations. The resource will support the Operations team through the various phases of a typical project (initiation, planning, execution and close) to achieve project goals.
Services to be performed:
Work with various groups and teams from within the section at varying levels
Manage the distribution of assets
Manage the disposal of surplus assets
Provide administrative support
Assist in performing such tasks as maintaining project documentation and application/system libraries
Track project change requests
Maintain and update relevant project information in manual and/or electronic files; project information might include such things as project activity schedules, asset status reports, and correspondence
Use computer tools, aids, system control languages on PCs, minis, or mainframes to perform work
Deliverables
• Developing, maintaining, monitoring and updating administrative programs and procedures
• Monitoring work in progress
• Preparing correspondence, reports, statements and other material
• Analyzing and interpreting data and preparing reports
• Offering guidance and training to other team members
• Tracking and managing new hardware orders in a hardware database
• Use of Procurement Asset Tracking System (PATS) and Procure to Pay (P2P) for purchases
• Tracking documents in the approved Government Electronic Document and Records Management system GCDOCS
• Communicating with suppliers and clients to ensure all IT equipment is received
LANGUAGE REQUIREMENTS
All deliverables are to be provided in English. The Contractor must be able to communicate in English, oral and written, in the work environment.
CONSTRAINTS
• Works with stakeholders from SSC, other areas and from client areas as required
• The Contractor must provide their services on-site during regular work hours (between 07:00 and 17:00) Monday through Friday generally not exceeding 37.5 hours per week. It is expected though that the Contractor will work extended hours as required. As such, the Contractor must indicate their availability to work extended hours
Candidates must clearly demonstrate, using detailed descriptions, that they have a minimum of 5 years’ experience as an Administrative Assistant planning, coordinating, managing, and monitoring various administrative services.
Candidates must clearly demonstrate, using detailed descriptions, that they have a minimum of 2 years’ experience providing administrative support in the federal government
Candidates must clearly demonstrate, using detailed descriptions, that they have a minimum of 6 months of experience preparing good receipts for IT Assets using an electronic Procure to Pay System.
Candidates must clearly demonstrate, using detailed descriptions, that they have a minimum of 6 months experience maintaining an IT asset management database.
Candidates must clearly demonstrate, using detailed descriptions, that they have a minimum of 6 months of experience working in an IT/IM asset environment.
Candidates must clearly demonstrate, using detailed descriptions, that they have a minimum of 6 months of experience using GCDOCS
