Senior Project Coordinator- Level 3- Filled/Closed

Our client is a major Federal Government Department.

They require the services of a Senior Project Coordinator for a multi-year contract. This Senior position requires the successful candidate to have a current Secret Level Security Clearance.

Only candidates with a current Secret clearance and 10 years of related experience will be considered for the position. Previous Industry Canada experience is considered a strong asset.

This Division is working alongside SSC to move all Departmental users off of the current @canada.ca email platform and to migrate them to the new Departmental Exchange Online (EXO) email platform as part of the Office 365 deployment.

The Senior Project Coordinator will support the EXO Migration initiative. Duties and deliverables may include but not be limited to the following:
 Assist the Project Authority in the day to day duties of the various projects administration, coordination and management;
 Monitor and maintain the project communication plans and processes;
 Communicate project information to the project stakeholders and project team;
 Schedule project meetings, support agenda creation and distribute agendas, and document and publish minutes;
 Prepare and distribute appropriate meeting documentation (agendas, record of decisions, action items, presentations, etc.);
 Document and follow up on important actions and decisions from meetings.
 Ensure adherence to all calendar schedules and manage correspondence with project team members;
 Maintain and update project charter(s), business case(s), briefings, issues logs, status reports, dashboards and various project artifacts;
 Ensure that project documentation is completed, categorized and stored appropriately;
 Ensure projects adhere to frameworks and all documentation is maintained appropriately for each initiative;
 Assist in the preparation and management of budgets, invoices and other financial activities related to projects;
 Track project resource budget;
 Support project financials, including updating spent-to-date, collecting new estimates and generating re-forecasts
 Assist in the updates to the project plans;
 Develop, manage and maintain project plans and schedules by capturing task updates such as progress and completion dates, updating resources, updating work segment plans, or performing other directed updates  Monitor tasks against project schedule and follow up with Project Authority and/or project stakeholders;
 Plan and track project timelines and deliverables as outlined in project plans using appropriate tools;
 Maintain and track work progress for all assignments and coordinate with the Project Authority;
 Maintain project repository and follow-up on overdue deliverables and approvals;
 Maintain and update the project change control process including a structure to manage and track changes;
 Maintain and update tracking tools and logs, including issues logs, decision/action logs, and risk management
 Follow up on status updates with internal and external key stakeholders;
 Follow up on client approvals and sign off of projects;
 Organizing, attending, and participating in stakeholder meetings.
 Complete and submit, for weekly approval, time sheets by project using the (in-house) Project Tracking System; and
 Provide updates/status reporting to project team management as required.

Experience using all of the following project management and office software tools:
a. MS Project
b. MS Excel
c. MS Word
d. MS Power Point

Candidates must have a minimum of ten (10) years professional work experience within the last fifteen (15) years developing, managing and maintaining project plans and schedules

Resource must hold one or more of the following project management certifications:
 MSP (Managing Successful Programs)
 PMP (Project Management Professional)
 Prince 2 certification
 An accredited certification in Project Management
